    Good morning, club members

    I am writing to confirm details of the 138th Annual General Meeting and a Special General Meeting to be held at the club on Monday 30th March 2026, commencing at 7.30pm.

    Full details of the agendas for both meetings are attached.

     

    The AGM

    Standard agenda items, except for one addition this year, “Confirmation of Panel of Arbitrators”.

    In case of appeals by members involved in disciplinary matters, we are required to have an independent appeal panel made up of members not directly or indirectly involved with the complaint or the members concerned. Rule 31(2). We do not have a panel at present.

    We have asked five members to become our first panel: Daniel Quelch, Vikki Emery, Brian Goddard, Daz Singh and Jamie Johnson, who have accepted. The panel must be voted in at the AGM, so we shall need a proposer, a seconder and then a vote to hopefully confirm the panel is elected.

     

    The SGM

    We have had issues with some of the rules over the last few years:

    Rule 4: We believe 12 months is a more appropriate length of time to be a club member before proposing new members.

    Rule 20: To delete the Office and mention of Chairman from the Rules, particularly rules 20, 21, 22, 25 and 31(b).

    The club has always only run with a President, as shown by the honours board, but the lack of a Club Chairman has caused some confusion at times. The two roles overlap in many ways, and the simplest option will be just to officially confirm we are happy to have only the role of President at our club. The ACC have confirmed that most clubs run with one or the other. (The chairman of the committee is a different role)

    Rule 21: Amendment recommended to clarify how the two committee members standing down each year is simplified. Please see the attachment for revised wording.

    Rule 43: Change the date of the AGM to May to allow time for the Audited Accounts to be ready. Several clubs and the ACC in London hold May AGMs, and this will take the time pressure off the Auditor.

    I have attached the seven current rules and the proposals as outlined above.

    A vote is required, and there must be a minimum of 30 members present; for the motion to be carried, a vote in favour must be “three-fourths” (Rule 62) of those voting.
